This Privacy Policy explains how the Kwader HR employee self-service application handles personal data. The App is a workplace tool provided to employees by their employer.

1. Who is responsible for your data

Your employer is the data controller and decides why and how your personal data is processed. Kwader HRoperates the App and processes data on the employer’s behalf as a data processor.

2. Data we process

  • Identity & profile: name, employee code, national ID / Iqama, job title, photo.
  • Contact details: email address and phone number.
  • Attendance: check-in / check-out timestamps and, when you use check-in, your device’s GPS location to confirm you are within the work site.
  • HR records you are entitled to view: leave balances and requests, payslips, loans and disciplinary records.
  • Technical data: device identifier, app version and push-notification token.

3. How we use your data

To provide self-service HR features (viewing your profile, attendance, leaves, payslips), to record attendance you submit, to send you notifications, and to keep the service secure. We do not use your data for advertising and do not sell it.

4. Location data

GPS location is collected only at the moment you tap check-in or check-out, to verify you are within your assigned work site. It is not tracked in the background. If your employer has not enabled geofencing, location may not be requested.

5. Sharing

Your data is accessible to authorised HR staff at your employer according to their role. We use vetted infrastructure sub-processors for hosting only. We disclose data to authorities only where legally required.

6. Storage & security

Data is hosted on secure servers in the European Union (Frankfurt). Sensitive fields such as national ID and bank IBAN are encrypted at rest (AES-256). Access is protected by authentication, role-based permissions and audit logging.

7. Retention

Personal data is retained for as long as your employment record requires and in accordance with your employer’s retention policy and applicable law.

8. Your rights

You may request access to, correction of, or deletion of your personal data. Because your employer controls the data, please contact your HR department first. You may also contact our Data Protection Officer. See the Delete Account page for how to request deletion.
